Grading Scale Task

The following information addresses an assigned task titled “We need more information about the grading scale on your transcript.”

Below you will find further clarification to the task assigned in your NCAA Eligibility account, with additional clarification on what is being requested and helpful examples of responses. Please note: The examples shown for this task are meant to provide guidance on submitting letters of explanation. Any information submitted on your behalf will be reviewed on a case-by-case basis and may require further clarification.

As a reminder, most clarification needs to come directly from an administrator at your high school/secondary school. Please share this information with them, along with the specific task language from your account so that they can provide a complete response to the request.

What the Task Says

Ask the issuing body of your transcript to submit a letter converting the grades on your transcript to a singular grading scale. You may find examples of grading scale conversions in the Guide to International Academic Standards for Athletics Eligibility.

If the issuing body cannot provide a grading scale conversion, ask the issuing body to submit a letter clarifying which grades on your transcript are passing grades and which are failing grades.

The issuing body should email these documents in the native language along with a certified line-by-line English translation to ec-processing@ncaa.org. Each document should be on the issuing body's letterhead with stamp, and include the name, title and original signature of an issuing body administrator. Each document, as well as the email subject line, should include your name and NCAA ID number.

What We Need

In order to determine your eligibility, your school will need to tell us how their grading scale corresponds to one of the grading scales in the International Standards Guide. The grading scale must correspond to one of the scales for your country or for your educational system.

  • If your grades match more than one scale for your country or educational system, your school needs to explain which grading scale we should consider. (See Example Response 2, below.)
  • If the grading scale doesn’t match a grading scale listed in the International Standards Guide, we recommend your school administrator create a table with two columns (see below). In the left-hand column, we recommend your school include the grades from the corresponding grading scale in the International Standards Guide. In the right-hand column, your school should explain how your school’s grades correspond to the grading scale listed in the International Standards Guide.

A table like the one above should be included in a letter of explanation. This letter must be on school letterhead, signed by an administrator and attached to an email sent to ec-processing@ncaa.org. Please ask your school to include your NCAA ID number in the subject line of the email to ensure the information is correctly matched to your NCAA Eligibility Center account.

Example Response 1

A transcript from a school in country “X” lists grades on a 0-100 scale, the grading scale in the International Standards Guide for country “X” only lists I-VI grades. A response from the school could be:

Example Response 2

Country “Y” has two grading scales listed in the International Standards Guide. Both scales are a 1-10 scale but with different minimum passing grades (a “4” on one scale and a “6” on the other). A response from the school could be:

The lowest passing grade at our school is a six (6).

A transcript from country “Z” lists alphanumeric grades (e.g., 7a, 6c) and the grading scale listed in the International Standards Guide for country “Z” lists only numeric grades (e.g., 1-9). A response from the school could be:
