Below you will find further clarification to the task assigned in your NCAA Eligibility account, with additional clarification on what is being requested and helpful examples of responses. Please note: The examples shown for this task are meant to provide guidance on submitting letters of explanation. Any information submitted on your behalf will be reviewed on a case-by-case basis and may require further clarification.
As a reminder, most clarification needs to come directly from an administrator at your high school/secondary school. Please share this information with them, along with the specific task language from your account so that they can provide a complete response to the request.

What the Task Says
Ask the issuing body of your transcript or credential to submit a letter providing the grade level and dates you attended. For example: “Year 9 started January 3, 2012 and ended December 15, 2012.
The issuing body should email these documents in the native language along with a certified line-by-line English translation to ec-processing@ncaa.org. Each document should be on the issuing body’s letterhead with stamp, and include the name, title and original signature of an issuing body administrator. Each document, as well as the email subject line, should include your name and NCAA ID number.

The “We need more information about your enrollment timeline” task is assigned when we have questions about your educational timeline, and need clarification about your time at each school you attended for years nine and beyond.

What We Need
In a letter of explanation, we need your school(s) to explain which academic level(s) correspond to each year in school and each academic year. (See Example Response 1, below.) This letter must be on school letterhead, signed by an administrator and attached to an email sent to ec-processing@ncaa.org. Please ask your school to include your NCAA ID number in the subject line of the email to ensure the information is correctly matched to your NCAA Eligibility Center account.

A transcript is received with the name of school years being listed as “form 3-form 6.” A response to this task could be:
- Form 3 (Name of school year) – 3rd and final year of middle school – From [Month Year] to [Month Year]
- Form 4 (Name of school year) – 1st year of high school – From [Month Year] to [Month Year]
- Form 5 (Name of school year) – 2nd year of high school – From [Month Year] to [Month Year]
- Form 6 (Name of school year) – 1st year of upper secondary – From [Month Year] to [Month Year]

A transcript is received with school years nine, 10, 11 and 12 listed. No dates appear on the transcript. Responses to this task could be:
The student attended our school from September 2010 when he/she enrolled in year nine through his/her graduation from year 12 in June 2014. OR The student’s dates of attendance at our school were as follows:
- 9 from September 2010 to June 2011
- 10 from September 2011 to June 2012
- 11 from September 2012 to June 2013
- 12 from September 2013 to June 2014
